i got to produce a tender....its aprox £180k a year. what would you include in the tender documents. they have not given me any guidance....

is it best to provide as much as possible..........

i was obviously going to do the pricing, specification, health and safety policy, insurance documents.

should i at this stage produce coshh, risk assessments, etcetc....

Im trying to find a printers that can print me just a few folders to hand over the quotation, how do you make yours look pretty, vista do nive folders but min quantity 250 !!!

with regards to the pricing do you break yours down and show individual costs to the client or just show an annual total...........

You should have received an 'invitation to tender' document from the customer which will outline everything you are expected to submit, in what format and by when.

Each company has its own way of inviting people to tender so a generic answer would be impossible.

If you haven't received this document, then just contact them and ask for it.

ive asked the question but they have not got one and said they would leave the contents to me..........


would you do the parts ive mentioned first or would you include everything....i dont want to over or under do it............

Strange that they have no ITT document for a contract of that size.  It would be worth getting them to send you a definitive list and terms of the contract otherwise you won't be bidding on a level playing field and you could over price your services... or worse, underprice them and find yourself out of pocket!

I would include H&S documents, risk assessments and method statements as a matter of course, along with environmental policies, copies of insurances etc.

Tell them exactly how you intend to do whatever it is you are going to do and give them a total price.

If they are interested they will ask for a breakdown and then at least you know it is worth the effort of breaking down the costs.

i must agree with others, they should at least have a spec for the job, is this  a public sector or private sector job.

one thing that does spring to mind if they havent got any info, is that they are just ticking boxes.

on a contract of that size, i woyuld want a  site visit, along with a sit down meeting with the descision maker, you need to arm yourself with as muvh information as possible.

Tupe i expect will play a part in this contract, so i would be looking to acquire those detals prior to submitting, you need to find out how many staff they have in site at the present time, and how the contract currently runs.

not all clients like a break down, ie if you have holiday pay in your break down it puts some off! trust me lol

if they dont ask you to breakdown, or show your costings then dont, only show them if they ask, and then only show them the one that slices the cake so that the bottom line is not excessive.

thank you for all your advice.....think i will put it all in, minus the break down. is a 22% margin about right in this competitive world and 10% on sanitary bins,

think im getting there now.......

just doing the spec and job done.....

oh last question,.........when staff get TUPE across who is responsible for their hol pay that they have earnt....should the previous employer pay up to date including hols or does it roll over to new contractor as this could be a huge cost as nearing end of year .....

sorry to say it rolls over to the new employer, one big contract we took over 6 months ago cost us £5000 in hols before we started.
