Hi all,

Just thinking to myself whilst reading through a recent posting with reference to doing a quote....

How do you guys present your information and quotes to your customers?

Do you do wonderful letters.....?
Do you present it in a folder?
If in a folder, do you hole punch the paperwork and use dividers? or do you use the clear plastic wallets to present it?
Do you chuck them in a wallet type folder?
How many pages do you have after all the health and safety info and cleaning specs etc....?

I currently have around 80 sheets per quote with all the relevant info and use the clear plastic wallets and around 10 dividers to section them off. Was just wondering if there was a better way of presenting it? Do any of you put all your info on a CD for your customers???

hi there,

we do a quote, and in a seperate bound pack we have all the H&S stuff, insurances etc, its a standard pack, off the printer, bound job done. sits in the cupboard, quote or tender pack goes with it.

you do have to be careful with som eof the tender responses though, as they only want you to send back specific info, i have known people be disqualified from the tender round fopr sending in info not requested.

Hi All

Yes, we have all the relevant H&S, work instructions, cleaning procedures, insurances etc done on the computer, and for each new tender, I just print it off.
Although, just as you have said, one of the tenders submitted last week was asked to be changed to "site specific"!! and as we were in the top three tenders, I decided it was worth doing as they asked, and changed all the relevant info.
Moral learnt?? Make sure you read their information before printing 80+ pages...

I never thought of using a binding machine, sounds like a better idea than using folders...! I will have to investigate that one. Thanx Martin.

I think that presentation is the key, and the better it looks and more effort you put into it could mean the difference between winning a tender or not.

hi there,

thats right, well just off to sort out a flooded house, the hot water tank ruptured yesterday early evening.  we esxtracted upstairs and cleaned through.  got to do the ground floor this morning as there was no lighting on the groundfloor last night.

i think we have found some premises for August time, and a new material supplier, just need to pick up a carpet machine at a good price.

Good old modern technology!!

Yes we do email documents etc between our clients and ourselves.....However, I cannot imagine a client appreciating an 80 - 100 page document email, then having to read it on screen or having to print it!!

I still feel personally that a carfully presented "pack" tailored to their company and needs, still takes some beating on the presentation front.

If you're talking that size of document then I agree with you.

Mine are a lot simpler, so e-mail is a handy tool.

About half of my clients are also invoiced via e-mail and seem happy with the arrangement...certainly saves on postage!

I've started invoicing via email, where I can, and quite a few customers have asked about paying by bank transfer....fine by me
