Rota management Problems
« on: July 07, 2008, 11:13:41 am »
Hi Guys!

I'm in month 7 of my cleaning company and i have expanded to a 13 cleaner and 70 client operation.  we clean solely domestic homes and each cleaner is responsible for the same clients each week or fortnight.  the problem is that new clients and rota changes (with holidays etc) are causing me a huge headache.  it is th biggest problem facing me by a long way, and is preventing me from expanding my business further as i am frankly to scared to loose control.

how do other companies manage these problems and managing a high number of clients and cleaners?  is there ny useful software out their for this or is it a paper job?  any advice would be great.  I've recently taken on a part time admin person but don;t want to just hand her a mess and expect her to get on with it.

Take 1 more person on because if each cleaner has 4 weeks holiday and you have 13 cleaners that gives you 52 weeks then you only have to cover the holiday relief.

You have been busy!!. In seven months you have done incredibly well. What methods are you using to get new business and (our biggest headache) reliable cleaners? To answer your question -  are you sending cleaners on their own to cover a number of houses - do they use their own vehicles or do you drop them off? - how have you covered up to now when staff have let you down with such a large number of clients? - are your clients in a small area or widespread? We have used several sorts of software but depends on some of the above questions being answered. Also a word of warning the last time I past the rotas to someone else (a very intelligent office based person) they made such a mess that I will never do it again. This is not practical obviously to do the rotas yourself forever but I do not see a way round it unless software is involved and that is what we are doing now.
