I knocked up a letter on my p.c to explain about the changes i'm gonna have to make soon cos my round has got out of control, have a look and tell me wot you think, its not meant to be formal and the wordart is my business name and I just wanted to keep lookig how it is on all my flyers and slips etc. (but feel free to complain lol)  ;)

Dear customer,                                   

                         As you may already know, this is a fairly new business and is growing all the time. Over the past couple of months there have been a very large amount of new customers to add to my list thanks to:
 “word of mouth” and our advertisement placed in the “RHFOURTEEN” booklet which gets delivered to residents within the RH postcode area.

Although this is very good news for us personally, I was a little unprepared for the sudden increase in new  customers and have found it increasingly difficult to keep the due/collection dates for my customers and because of this I am introducing a new system that will hopefully achieve a more punctual service.

While this system has time to take effect, you may find that your windows maybe cleaned later than you would expect. This will only affect your next due date, and should then settle back into a more regular service for you, (weather permitting of course!)

Thank you for your patience and valued custom and I hope you are pleased with our services so far, we will always strive to maintain a good quality standard of work to keep our customers content!

I guess you mean that you are having to re-schedule your way of working. Personally I don't think that you have made it clear what you are doing and perhaps too much information on one document. Some people may take offence to being "put out" due to new customers. Personally I would sort out your new area schedules and then let the ones that are going to be later than normal know, with words to the effect of " we are currently revising our window cleaning rounds, in order to be able to maintain the cost effectiveness of our working and keep our prices affordable. We will be later to you this month, than we have been previously, but then shall carry on in future months with our normal schedules. For those of you who are not in when we clean, we will now leave a pre-printed envlelope for your cheque payment to be sent within 7 days of clean.Many thanks for your patience and co-operation in this matter.

If I were you I'd work out your round and then write on the bottom when their next clean will be, e.g. "Your next clean will be on x". That way they aren't wondering how long it is before you'll be back.

Hi Cleaner

If I was your customer and got that note through my door I would be very impressed that you valued my custom enough to keep me informed of any late cleans. Well done!
I do agree with the last post that it would be nice if you could give the customer an idea when you will get to them. I knoow it is difficult to give a exact date but if you say that you 'will get to them week commencing.......'

"Dear Customer,
Thank you to everyone for helping our business to grow by "word of mouth".  Because of this, we are able to charge the newer customers a lot more money than you.  Therefore we will be giving them priority - which means that we may be late in cleaning your windows next time around"

IMO: Always give a 2 week gap on domestic work (commercial they would not like it), We always say 4 to 6 weeks because of weather on domestic, tell people a date you'll be at the house, you will be  asking for trouble every time. You will let people down as it can rain hard for three days then you are buggered, it has worked for me over the years and i have never had a complaint about being late. Letting people down will lose you custom that is fact.

also a very true statement malc i will adjust that too. maybe to something more like " for queries or info etc etc, contact us on....."

i was gonna use george but cant copy and paste or import my cust's from ms excel into it so i think im gonna go for round tracker v3 for £10, as ive been told its almost as good and you can copy and paste from excel ;)

i found that my customers were impressed by a letter when i reorganised my round and many commented, on how they appreciatted being kept up to date.
but at the start of this year when i was off work for a few weeks, i lost some customers because i didnt tell them what was happening,and theyed assumed i had stopped working cos i never sent any letters out!!
