p45's new employee

does anyone one what i am supposed to do when an employee gives me part 1 and none of the other parts of a p45 from last year.

would it be easier to just fill in a p46 and do a week 1 basis?

also does this week 1 thing go on for each payment throughout the tax year until told otherwise by inland rev?

im new to payroll, can you tell.

You can't use a P45 dated earlier than 5th April 2007, get them to fill out a p46 and then you send that to the Tax office.  They should send you back a coding notification, in the mean time use BR week 1 coding.

The P46 will tell you what to do - if they tick box A its normal tax code 522L standard week - if they tick B its normal tax code code 522L week 1 - if they tick C its BR week 1.

You don't need to send the P46 to the tax office until they exceed the allowance.

If you have a valid P45 (as in the above post) fill in the amount details in the previous employment section, use the code on the P45 and send it off to the tax office.

This happened to us recently when a new starter just handed us part 1 of her P45. She claimed it was all that her previous employer gave her. I suspect she's lost the other parts.

I rang the tax office who told me to get her to fill out a P46, ticking A. The rest is as Fox has said.

thank you so much.

its very confusing trying to work everything out and trying to get it right on top of doing everything else.

shes working 15 hours per week at the mo,
and started 18th april, but i know she was in receipt of jsa before that, so does she tick box B?

I would assume it will be 'A' on the P46. Send it to the tax office and they will send you her coding - more than likely it will be 5222L anyway.
Then you need to order the HMRC Employers CD Rom.
It has a P11 calculator that you fill out weekly. It then calculates how much Tax and NI you deduct from her wages.
It is unlikely she will be earning enough at 15 hours to pay any tax. But NI will be around, or just over £1 per week. Then there is your contribution of around £2 per week.
You must also order a PAYE payslip booklet and make your NI (tax if any) payment every 3 months.
In the first instance, you must tell HMRC that you are employing someone and they will help you out.

i have all the employers bit from inland rev from last year when we employed someone for a month (long story)

so all i need to do is send off the form when she hits ££ per week? it looking like shes going to be doing around 20-25 hrs so prob best i send it away. and the week1 thing, i just do each week off the cdrom.

ok i think im straight with that now, she did tick box b. its a new p46 form full details in section 1, box a 1st job not recieving jsa since april (she has) box b, my only job but had jsa, and c i have another job.

When it says "since April", it means since this April (5th) 07 not April 06 as I was informed by Tax Office - worth a double check.

As for doing the wages, we use a free payroll service that's affiliated by HMRC - http://www.payroo.com

It really good for smaller companies with few employees - worth a look.

You can't be working from an 06 CDROM!
If you were employing last year - what is the prob? The tax office would of sent you the new CDROM!

Now it is '20 - 25 hrs per week!'

sorry, i am confused, therefore confusing everone else.

also time does not stand still, changes are made. its only today that shes starting to do extra hours!

thank you for the payroo its just what i need will make it easier for me.

also we only had an employee for around a month last year and its still all new.
700 million things todo ontop of this so keep your sarky comments to yourself please.

I am sorting out my employees in the morning , need a clear head. Not sure about the p60 end of year tax thing yet. But it all should be on the CD

Lisa, all of the above is good advice, best thing to do is phone the tax office about anything your not sure of and ask when there next free payrol course is

Hi John.

The P60 is pretty easy.
First install the 07 CDROM on your computer with the 'option to save' information entered into forms.

Fill out a P11 for each employee, using the P11 calculator on the CD.
Once you have the figures for Tax and NI, go to the 'Forms and Helpbooks' and click 'Fill in Forms with Save Option'
Click on 'P60'
Enter employer and employee details with Tax and NI values.
That's it! Print off the P60 (twice) and give a copy to your employee.

If you don't have too many employees, it doesn't take too long. But then you still have the P14 and the P35 end of year summary to complete for each one as well.
You submit the P35 online and, if it's the first time you have done it, you get £150 back from the taxman!
