Advice Please!!!

Hi I know this subject has come up alot but I am a 'new' employer and I am struggling to come to terms with this!

I took someone on- in February ('06) - contracted to 16 hours, she wants to take 3 weeks holiday in July.  How do I work this out? 

I would be very grateful of some help here - thanks in advance.

Hi

Average holiday allowance of 20 days accrue at 1.66 days per month so you need to work this out and take bank holidays into account.

So - start 1st Feb by 1st July 5months holiday accrued = 8.3 (8.25 or 8.5 depending how you want to round it)  Take off bank holidays which is 4 days between now and then and she will be left with 4.25-4.5 paid holidays (this is worked out on a 5 day working week).

I tend to let employees take more holiday than they have actually accrued if they have been with me for more than six months but no more in money terms than their work in arrears.

I am hoping that you have allowed for holiday pay in your quotes etc, so that in the event of staff going on holiday, you will have the money alocated to pay a replacement cleaner for that period!!

However, as you will be aware of, all part-time staff have the same allowence as full timers.....i.e: 4 weeks paid holiday

I would need to know your holiday period......January to December / April to March etc etc. because this would make a difference on the holiday entitlement for that year, as the cleaner started in February.

For the time being, i will assume it is a Jan - Dec period.

They would be entitled to 4 weeks holiday x 16 hours/week = 64 hours.

As they started in Feb they would be entitled to 11/12's of that entitlement for their first years holiday (feb - dec) = 64 hours divided by 12months x 11months = total of 58.5 hours holiday entitlement for the year.

(you confused yet?? I will have to read this again before i send it  :P)

When they have their 3 weeks holiday in July you will have to pay them for 48 hours from their entitlement = 16hours x 3weeks = 48hours

They will have 10.5 hours holiday entitlement left for the rest of the holiday period.

I gets sticky if they were to leave after their holiday.....because they will owe YOU money. If they were to leave you at the end of August, their entitlement would have been a 7month period. As they started in Feb they would be entitled to 7/12's of that entitlement for their first years holiday (feb - aug) = 64 hours divided by 12months x 7months = total of 37.5 hours holiday entitlement for the year.

They went away in July for 3 weeks = 48 hours has been paid. If they were to leave in August, they would owe you for 10.5 hours over paid from their holiday entitlement. So in their last wage packet, you would have to dedect this over payment  from their wages.

I find it easier to keep track of part time annual leave in hours, e.g. if they just want the morning off, etc.
