is it acceptable to send an invoice by email, either as a PDF or word document? or do big businesses require a letter headed invoice posting to them?

I send most of invioces by email now, i do ask first if this is acceptable, not had any problems

I send all my commercial invoices via email.  My software "prints" them to a PDF file which I attach to a "thank you" email after the job.  It will print off just the same from their computer as if I printed it myself and posted it to them.  Never had a problem with this, and many customers like to have electronic records nowadays.

OK  how about including bank details to encourage direct bank payment, will this speed up how quick they pay?

I do some work for the local council, mainly
nurseries.
Invoice by e mail Monday night and money
in bank by Friday courtesy BACS.
Whatever that stands for.

Hi Mike,

I think most companies these days prefer BACS payments! Less paperwork! I know for most of are contract cleaning customers they pay by bacs! Also when we do commercial carpets or floors most pay by bacs! I say most because there are still a few that prefer chq!

Email all invoices as an attachment on letter headed paper.
Most pay by BACS also, still normally 30 days, but you dont have to wait another week for the cheque to clear.

Will always send invoice by email in PDF format if possible. As Mark said you don't have to wait for the payment to clear and you know once it's in your account it's all your to spend straight away.

It's cheaper for  the payer as well as it keeps their bank fees down and depending upon our bank set ups will also keep our charges down.

You may not get paid more quickly by BACS but you may get paid more quickly than if waiting for the next cheque run.

I'm trying to get as many of my clients to pay me that way. my thinking being it's just one extra thing that binds me and the client together. Once cheques are withdrawn the client may well think "well I've got my cc set up on my on-linee banking" so there is one less reason to go and find a new cc.

Yes my bank details are on my invoice. What could a client do with them that w couldn't do with all the bank details on the cheques handed to us in payment.

Like others, I use 'cleaners mate' & send all my invoices (and quotes) by pdf - only takes a couple of secs.

It allows me to have my bank details on all the invoices (as a template), so most commercial pay by BACS quickly, which is good.

Call me tuesday and will fit and accounts program on back end of website
that will email and track invoice payments for you.

If you do your invoice via a templete in MS Word then just save it as a PDF file. And attach that to an email. Simple.

for the last month or 2 i have been using an app on the i phone  - invoice2go you can write & e-mail an invoice as you finish the job it then also e-mails you a copy to office  - nice little program for a £5

I also have the invoice2go app on my iPhone, I have been using it for almost 2 years now and I can't rate it enough, also gets free regular updates with new software additions. It has around 20 odd templates to use in which you just enter you companies details and you can also upload you own company logo. My customers both domestic and commercial are also very impressed with how efficient the whole program is, once I have completed there work I then sit down with the custy, have a cuppa and type out there invoice and then send it to there email. My bank details and other payment details are also on there you can even set it up for paypal payments which a few of my customers actually prefer. This app also let's you prepare quotes etc, totally invaluable to me, can't praise it enough!
