need new methods of organising paperwork
« on: December 22, 2010, 12:19:18 am »
i need new simple methods of organising paperwork coz im terrible i get reciepts etc and put them down never to be found!!!

i know ya all gna say its so simple but my life is so hectic im never rarely at home.

from writing down telephones numbers and addresses and work completed i do have a diary but i write notes down on scraps of paper and never remember to jot them down into the diary. its probably just sheer laziness i know.

if any one can give me insight into how they organise things and operate things with accountants itd be appreciated thanks

Richy, get your self an A4 ringbinder file, put 13 plastic wallets inside, put a label on each wallet eg - April 10 through to Apr 11. As you get receipts throughout that month - fuel, supplies, stationary, expenses, etc just put them in the relevant wallet. Even if you don't have time to organise your accounts each month it makes it so much easier at the end of the tax year.  ;)

buy yourself an iphone ( there are other smart phones available) and do the admin as you work, then sync it to your cloud so it is always with you.

At end of day forward on to accountant or just let him collect direct from your cloud.

Technology is the way to be organised and save money if you are a bit "lazy"

A wee tip though the lazier you are the money you lose

I wouldn't store info like this in a phone. Whatabout if you lose your phone or have it stolen etc. Its only good if you can back everything up via a pc or on a disc etc.

There in lies the genius.

It is not stored on the phone, it is stored securely in the cloud!

Its my opinion Form!!! All mine is stored in my head so no phones to worry about, no scraps of paper to lose, yes my receipts, invoices, etc are stored in a shoebox in 13 envelopes. I do have a diary too. My tax form will be done online before 31st January too. I'm not quite as bad as the poster of this topic but not much better either!!!!

I don't use my phone for this either.

In my head would be no use as this can quite often be found up my ar*e  ;D

That is a great idea and really simple (as great ideas often are). I for one will be taking this advice. I was really good for my first few months, had a folder box thing and seperated into months and stored appropriatly. But when I handed it over to my accountant in early June (yes my tax has already been done and rebate paid) I have just been stuffing receipts behind van sun blind.

It really is as simple as that chopsie, every day I put what ever receipts I get into a drawer so they are all in one place and then at the end of each week (or month) just sit down for 5-10 mins and put them all into the relevant wallet for that month. At the end of the tax year sit down and empty the first wallet - add up all the receipts for that month, write down (or word process + print) the total on a A4 piece of paper and put it back in your wallet as a cover sheet. Repeat this 13 times and total the amount for total spends for the year. Simples! Your accountant will love you as it makes his job a lot easier (and yours as well!!)  8) 8)
