Best way to organize your round
« on: July 26, 2017, 08:20:35 am »
I've asked this one  before buy no matter what I try it keeps getting messed up.

I'm in a situation again where I'm behind up to 2 weeks and the whole thing is mixed up. I've got jobs in the same area spread over a few different weeks

No matter what I try it keep getting out of sync.

I just want all the days jobs in the same area to make it as efficent as possible for earning and reducing travel/fuel costs.

I've been doing it 4 weekly and breaking it down into 4 weeks, so area A week one area B weeks 2 an so on. But if I get rained off or have a day off or do some extra work that means all area A doesn't get done on week one it then ends up getting on weeks 2! Which then pushes weeks 2 onto 3 and over a period of time before I know it the whole thing has gone to pot.

I'm. Thinking of changing it all to monthly and just starting at customer number 1 and ending at customer 300 and just going thru it in a set order. If it's quiet for add ons and I graft I could get thru it in 3 weeks and have any remaining days off or if I get a lot of add ons it would probably fill the whole month. Only downside is it might work out that I'm getting to some customers too early in the month and others too late.

Pulling my hair out with this. Is there a perfect solution? Or is this just how it is for everyone?

Need some way of organizing it as it's so in efficent chasing my tail all the time driving from one area to another.

Switch to bi monthly and nobody will notice if you're a week early or late. More scope to shuffle jobs.

Just work through them in order, don't text and don't worry if you a few days late as customers wont even notice.

i work my round from a-z in roughly the same order.i have 4 weekly,6 weekly,8 weekly,12 weekly and one 26 weekly! ;D

i juggle some jobs here and there but never have any problems.add on jobs get spread about on free/slacker days here and there.

most work is 4 weekly and nearly all work is in one area(at least 300 customers).i very rarely work a saturday and can complete my work in 4 or 5 days a week working shortish days.

1.i very rarely have a day off because of weather(if i do i usually still get my work completed that week)
2.round software helps A LOT.
3.holiday time i just move all work forward a week or so with a click of a button.easy.

Thats how i do my work, my complete round is segmented into smaller rounds. So week 1 round 1. Week 2 is round 2 n 3
Week 3 is round 4 n 5 and week 4 is my smallest round of 2 days.

Sometimes they may cross over for instance if i get ill or wife does but i dont stress aboutbit because i know how much i can get done in a day.
I finish roughly the same time most days regardless if its summer or winter. Back in the day i used to stay out late in summer due to lighter evenings and so took loads of new work on but come winter i struggled. So i kinda base my days on winter daylight.

Also if your wfp, get your head around why  you can clean in the rain. Once your convinced explaining it to your customers is easy. This way you cant blame the weather for falling behind.

Finally, get yourself disciplined lad.

Im old school and beginning of each tax year i write my book out. One book containing all my rounds segmented like i said and i work through untill its all completed.  Im running late this month and  completing 3 rounds this week. But august has 5 weeks so i then reset! The first wk im having off apart from some fascia jobs and then back to week1, week 2 etc.

Final bit of advice,, perhaps the hardest!! Learn to say NO!!   Stop taking on more wirk untill you are better organized and in a good routine!

We don't stop for rain so we always get work completed in the that week if not there cancelled as customer or cleaned in six weeks time

I have 6 rounds call them A-F or as mine are geographical  named areas six weekly and twelve weekly scheduled hladyeeleve weekly done every six weeks

Work is sorted according to areas, but as my areas over lap there is always room to complete few houses the following week if needed, but the houses are always left in there geographical week.
we sort week by value, I know what weekly value we need so I can see how much in ceartain areas is need to be canvassed to keep weekly targets at the value I require

I use cleaning planner so it's easy to lift and drop customers into and around the scheduled work when initially organising the rounds also when we have a week or so off there's a shift the round option where you can shift every customer forward one week or two with  a click

Then your not behind your just starting all the rounds when your back off holiday

Do you bread and butter 1st and don't take on one off jobs until the end of the month . For a few reasons,
1. Your going to be called unreliable from your window cleaning customers
2. Surely The one off jobs can wait a couple of weeks until the end of the month?
3. If you quote a job and get it , it kinda of looks desperate if you can say you can do it tomorrow and makes it look like your haven't got any work.
If you can't fit the one off jobs in this month , book it in for next month. Iv been waiting for a very good joiner to fit me in for 3 months. It doesn't mean I'm going somewhere else though, because he does a good job and is worth the wait.

yep. cleaner planner makes scheduling and rescheduling so easy.its so flexible and adaptable with a few clicks.

my work is just one big mega round(no round A,B,C etc)sorted into an order that is most efficient for me.its got a lot easier over the last 10 years as more and more work is concentrated into the same areas.

what i would do adam if i was you is sort out your runs of work into areas and working days(dont pack too much into one day though, say 5 or 6 hours "on the glass")then if you start a bit later or pick up a new customer you ll still get that days work done without having to go back the next day for 2 houses for example.add ons i would do on a different day if it could disrupt my scheduled regular window cleaning work for that day.

i know its a lot harder when you have bits of work spread over a wider area though but you just gotta use your own common sense on the best most efficient/profitable way of cleaning your work.as you go on though it should get easier as your round gets more and more compact and you fill in gaps with whole weeks of work in the same areas.

Ok so what im going to do is sort it into towns/villages

i have about 45 different towns/villages that i work in

that sounds a lot but its generally only a 5 mile radius with a couple of dozen or so outside of that

think it might take a few weeks to sort out and means that some customers are going to be weeks behind whilst i change everything. Not much else i can do though, dont think anyone will fancy been moved forward a couple of weeks to fit my new round order

Just do what Dry Clean has said. If you get behind don't stress about it. Also on 4 weekly work if let's say week 1 work doesn't get finished by the Friday and a few jobs roll over to the following Monday ( week 2 ) I just bring them forward to week 1 again on the next cycle, if anyone complains that I'm early I tell them that I was late last time and that the most cleans they will have in the year is 13 and in most cases 12 due to holidays.
