office filing systems

i know some of you are domestic one man bands but for the guys who owns van and have staff, and health and safety obligations, hr files, insurances for vans,mot certificates and v5 logbooks, holiday request forms etc etc

does any one have a simple filing system they use i.e colour coding different areas of business or what while got few days off i wana have good organise as i hate clutter but my filing has just got a complete mess again

I just use a filing cabinet, but with staff records these have to be kept in a locked cabinet by law.

It's not difficult, Richy, just do a list of the various generic stuff you want and number each file with the title:

1.   Red van documentation
2.   Blue van documentation
3.   Personnel record for Bob Jones
4.   Personnel record for Mike Richards
5.   Kinky sex toy catalogues
6.   Etc

Print the list out, create the files, put them in numerical order in a filing cabinet.

At a later date, if you wish to insert a file between 2 and 3, call it 2a or something.

Stick the file list on the filing cabinet.

to be honest tosh i can create them its sticking to them i take things out and dont put them back in correct place and over a few months its a mess again i was just wondering if anyone use like a colour code system i.e yellow wallets for vehicles blue for hr etc

i can set up a filing system but them t bar folding file holders just fall off the rails and things fall out etc and i end up jibbing it off then when its a mess i start again

You've got to be disciplined with a filing system, Richy.

The problem is your discipline, not your filing system.

organised and discipline is 2 key elements to running a sucessful business if you stick by that everything becomes much eaiser.
