Quote advice / help.

Heelo there folks. 

We have been asked to put a quote in to manage the cleaning of a small agricultural college, 2 hours per day.

This is slightly new ground for us but what with the credit crunch starting to kick in slightly in our neck of the woods I thought I would put a quote in and see if we get it or not. 

Basically the college require 2 hours cleaning per day, before or after school hours.  We are to supply all materials, loo rolls hand paper towels, bin liners etc. 

Now, the questions.

During term time they want a clean every day, during holidays its 2 visits per week.  Now as far as pricing goes, we normally clean EOT cleans or void cleans and we have prices for the relevant size properties.  We dont price per hour.    Is there a average price per hour for this line of work?  We were thinking is the region of £15 per hour.  ( as we are providing all the cleaning materials.)  Would you say this is somewhere near? 

Also, they want the vinyl floors to be stripped, degreased and re-polished  twice per annum.  ?? ???  New to us.  Is this a job for a specific machine?

Another part of the contract is the cleaning internal and external windows 4 times per annum.  this is not a problem for us as we have a wfp set up, do you think it would be best to quote for that seperatly or include that into the hourly rate? 

Sorry to ask all these questions but I'd like to know what I am letting myself in for before I quote.

ok

windows quote seperately,

consumables quote seperately as used, invoiced as delivered

vinyl strip and seals, depending on size of area, can be done with manual method, or with a rotary machine, carefree have a range of products, floor stripper, carefree polish, and then the maintainer for regular mopping,
again quote this sep.

re the cleaning, best way to do this is to calculate total annual charge, then divise up by 12, you will need to remember to account for the holiday periods, by dividing into 12 equal months, you will help your cashflow.

your charge out rate, should be determined, by hourly rate, holiday pay, emp NI, materials, machinery, any parking charges, uniforms etc, management costs then profit.

Hi TVCS,

Martin correct in what he says in the way to charge.

If you want a crack at winning the contract, I strongly believe many companies can easily beat the £15.00 per hour markup. Even if you are supplying the chemicals and equipment and still make a reasonable profit.

I think they will see quotes for labour and cleaning materials easily around £12.00 and possibly lower.

We have many contracts at £11.50 and many alot lower. And many much higher.

Thanks guys, had a visit withthe site manager and went through everything. 
Looks like we will be able to quote for an initial clean to get it up to scratch as it were. 

Just got to price up the vinyl floor stuff now.

Had the call today, and we got the contract.
Its good and bad news really.  we are chuffed to get the work but they want us to start withthe floors and windows a week before the term starts which happens to be the week we are moving house.  Never mind.  Just glad we got it.   We stuck to our £15 p/h and we worked out roughly the materials and allowed for that seperately.
