Cleaner Planner customer help
« on: August 08, 2014, 06:57:05 pm »
Been using Cleaner Planner for a few weeks and love it.

Today was the first day my lads have had tablets to use properly, if I am being honest they were not that happy.

One of the lads is a real tech novice, (never used a computer and still using an 8 year old Nokia) he really struggled and at the end of the day he complained to me and said he would rather use paper.
I was not happy with that having invested a lot of time and money so as soon as I got back to the office I emailed Rob and told him my concerns and the issues raised.
That was at 4.30.
I received and email from Rob at 6.30 to say the app has been modified with the improvements I needed. Plus others we had talked about should be uploaded soon.

Seriously does it get better than that?

This guy really does want this software to be the very best it can be. Any competition will have to be pretty spectacular to ever match it.

Rob is fab at implementing things quickly - what changes did he make? My team are using the tablets really well now - took a bit of getting used to , as change does but its so much quicker for me at end of day now
Never argue with an idiot, they will only bring you down to their level, and beat you with experience

Trialing it now with rob at the moment i am not 100% convinced it will save me time and wont save me money as i am using George.

Very early days trialing for me, what i want from the app/cp does not exist. However! Rob is implementing it in!

Cannot fault Rob though, amazing chap!

How do you produce an invoice do you still have to print one out for every job before leaving the office/ house then throw the ones not used away

Hi David - you can raise an invoice before you do the job (from the worksheet) or after the job has been done (from the debt list).

If you raise it from the worksheet it is a draft (or proforma) invoice, and will only be finalised if you mark the job as done and submit the worksheet.

You can either print, download (as PDF) or email the invoice from CP, from your own company email (e.g. info@mycompany.co.uk), with your custom footer and/or logo on both the invoice and the email.

I looked at PayPal years ago but decided against it. Its ridiculously expensive!
There are so many better options I am surprised anyone uses it.

Ok rob I understand what your saying so I would need to update all my records to start including email addresses which I should do anyway then at the end of the day email invoices to those customers who need an invoice or to those who weren't in and for those older customers who don't have email just carry some headed note paper

Hi David - is this for commercial or domestic work?

I'm planning to add the option to print sheets of payment slips (mini invoices) soon for those who issue slips for domestic work, these will automatically include your company name, logo, contact details, clean details, price and payment details (e.g. BACS info).

You certainly can raise invoices for domestic work and doing this from the worksheet is as easy as clicking "Create Invoices" and then "Print Invoices" to print them all in one shot, but personally I think fully fledged numbered invoices are a bit overkill for domestic work - what are your thoughts?

In the end you've got complete flexibility really, you can download, print or email invoices, or you'll soon be able to print sheets of slips :)

Another nice feature we have is the option to "Collect emails". When enabled this automatically includes an "Ask for email" reminder on the paper sheets (and soon in the mobile app) next to each customer for which you don't yet have an email on file. This reminder only occurs once for each customer, so you don't end up pestering someone who doesn't have an email address!

Rob at present as you know I use aworka and what I have to do is print a round sheet and also print all invoices for all customers on that given day which shows amount, amount outstanding if any and invoice total
So if mrs jones pays and does not need an invoice that ends up getting thrown away but I need to print them all as some customers might not be in so invoice has to be left

Hope I'm making sense

I use it for EOT cleans.
Customer can pay at the door even if they've got no cash.
I don't trusts cheques on EOT.
No pre-payment. No clean.

Hi David, sure yes, but do you literally print out full A4 invoices for all your domestic work? And do you have to print all these invoices manually, one by one?

In CP you could click "Print Invoices" to print all your invoices for the day with one click and as I say you'll soon have the option to print sheets of payment slips (i.e. 5 or so a page).

Yes rob full A4 invoices for all customers which most get thrown away, it takes a few clicks to print all invoices in a given round but it's not too bad but sometimes it does not add on any outstanding amounts which is very annoying

So do you have an eaisier way of being able to produce invoices

Right so, you'll have all your jobs on the worksheet, and you'll simply check the jobs you want to invoice (or check all) and then click "Create Invoices" and then "Print Invoices" = done.

You can opt to "Show balance" on the invoice, this will automatically calculate the customers's outstanding balance (prior to this job/invoice) and add it at the bottom.

Also as I mentioned previously, invoices raised on the worksheet are essentially "proforma" invoices, and will only be visible under the main "Invoices" tab later if you actually do the work.

If you miss it then the system effectively "throws away" the invoice as well, so you don't end up chasing invoices for work you didn't actually do.
