We are about to put two of our emloyees on our van insurance so as we can take on more work.
Just a bit nervouse about this as a we don't want to loose our no claims and also worried that they may be tempted to use it for things non work related.
Advice please!

You may find that in order to grow you business you have to start with trust. There is no guarantees that your staff or even yourself may not have an accident on the roads that will impact on you no claims. All you can do is hire as far as known to you what you consider to be good and responsible staff.
As a caution before giving staff vehicles it should be written in their contract terms or staff handbook the conditions and responsibilities of company vehicles. If vehicles are strictly for company use it should say so; even things such a paying for fuel who, how, reimbursements, maintenance, parking etc. Incorporate all these terms, go through it with them and get them to sign such an agreement.

also get a vechicle check sheet made up to be filled in every monday.. things like
mileage
oil
water
tools in van
tyres
any thing you might have yourself that you want to keep an eye on..chemicals etc

Thank you I will definitely take all of your advice. I will only be allowing my two full time cleaners who we knew out of work to drive the van so fingers crossed they will behave!

You also need to check out your responsibilities as an employer regarding H & S of your drivers, there are a lot of regulations that you have to adhere to if you allow staff to drive company vehicles.

The one thing we do which I find very useful is to have petrol payment cards as they;
1. Do offer several pence off per litre if you are spending a decent amount per week ~(not to be laughed at in current conditions)
2. Negate the need for petty cash/expenses
3. The management info that the card company provides is perfect for checking mileage/time and location of purchase etc is invaluable in keeping tabs.

We use Fuel Card Services;
www.fuelcard-services.com
Think they can offer different cards (eg Shell or Texaco - choice depends on locations etc)
They are just like credit cards but only for fuel and the cards can be person or vehicle specific (your choice)
When we first started we had to put down a deposit because we were new company (think £250) and they have a direct debit coming out every two weeks along with e-mailed report and invoice.
There are also a few other companies that do it though if you google it.
