Title: Got to let you go letter

Hello folks, just wondering if anyone has a letter that they have used to let customers go. 
Due to other work commitments I am having to drop nearly half of my round but everytime I start the letter i think it sounds pants. 

I want to let my custies know the score instead of just not going back with out letting them know.

Phone them instead.

They'll think a letter is cowardly.

I disagree.  I think they would appreciate being informed at all.  It would be quicker for me to hand them a letter, (or tell them if they are in), after I clean them one last time than to phone 100 people

A letter isnt cowardly.

I would imagine most customers would appreciate being informed, a letter is more professional IMO.

Phone them and you could easily spend half the night talking about allsorts of stuff; why youve got to let them go, do you know of another window cleaner, have you got his number, do you know Joe Bloggs, is Joe Bloggs any good, is this because of the down turn in the economy, I blame Tony Blair..............bla bla bla and just before my daughters getting married too.

Write a letter and be done.

It'll look good.

Why are you just letting them go....why cant you sell them or maybe if you know a wc who needs some help building his round give them to him/her...just letting them go is madness.

To me that's customer service, and being prepared to have a  little chat is a nice touch.

TVCS, I would also like to know where you are from!!! Is it the same as the location in your profile? If it is then I have the answer! Instead of worrying about writing a letter to let them go Email me (wce@sky.com). I work in that area and would be more than happy to sort something out with you. Then you wouldn't have to worry about letting them down and they would appreciate the fact you had found them another reliable window cleaner. If you are not in the area shown in your profile then you should offer them up on here, someone is bound to be nearby.

To me that's customer service, and being prepared to have a  little chat is a nice touch.

That could work out at the same conversation 150 times over spread over 5 weekday evenings.

Take your pick mate. I know which one Id choose.

I usually ask my customer when i 1st take them on to give me 1 months notice in writing if they want to cancel.
I have done the same for the ones i have dropped

It's more professional

craig that is why I am going to make sure I get round them all and either tell them (if they are in) or leave them the letter.

Regarding other w/c in the area, i have offered this work to 1 other w/c and he declined.  he only likes doing the shops.  My round is spread out a bit. ( hense the massive culling).  I am in a 1 horse town so not too many shiners fighting for properties. 

WCE, your profile says you are in tewksbury,  what size area do you cover?

I am sorry to have to inform you that as of 32nd Julember I will no longer be able to clean your windows. This is due to my being awarded a large commercial contract in (a town approx 30 miles from your custy) which necessitates my full attention and which does not allow me to service your area any longer.

I have sought a replacement window cleaner for you to discuss terms with but unfortunately I can find no-one available at present.

Thank you for your past custom and I wish you all the best for the future.

Hi yes we cover Gloucestershire and Worcestershire throughout both with domestic and commercial. We also cover other areas commercially - Coventry, Warwick, Bristol and Hereford. Yes I cover a wide area but thats the way I chose to build my business, seems to work for me.

Yeah I do sometimes is good, others, well!!! Been thinking meant to ask (if you don't mind) What is the other work commitments? Are they cleaning related?

Something along the lines of...
"Due to increased  commitments nearer to home, I regret that I will no longer be able to clean your windows. I'd like to take this opportunity to thank you for your business and wish you all the best in the future. "
The "nearer to home" bit can be explained by the rise in fuel costs

The reason I asked was because if it was something other than window cleaning e.g pressure washing,  then I would like to pass some work. I am looking for pressure washing and carpet cleaners in the Worcestershire area as get quite a few  enquiries. With regards to your customers then don't worry about them, email me (I don't bite!) I will make sure they are happy!
