Title: Getting your bank account statement ready for your accountant
Post by: Shrek on June 16, 2020, 07:55:40 am
Is it just me or does everyone download their bank statement to an excel file then edit out all the customers details (name/address)?
Takes a good amount of time to do it , anyone else do it a different way? Or do you leave your customers details on so your accountant can see who’s your customers?
All my customers who pay by bacs leave their address as reference.

I just tell my accountant my income.

No physical bank account checks needed. I Just keep good records and give him my monthly turnover.

I do all my bookeeping in quickbooks. I then give the figures to my accountant.
They don't need to see anything.

Why should your accountant need all this detail?

I do my own assessment online with the tax man. All he is interested in is your total turnover for the year less your claimed expenses to run your business. Then he needs any interest received from your bank and any other forms of income streams.

We use George and that will give us our printout of our total cleans for the tax year, total payments received, total tips and total write offs.
I then keep a list of each business expense over the year and remove the total amount from our turnover. Expenses are done on a spreadsheet and I apply a formula for each expense to what percentage is business and what percentage is private use.

For example; running costs of the van are 90% business and 10% private. (We have a private car. If we only had the van then the business/private % would be different.) My mobile phone is 50% business and 50% private, my landline is 90% private and 10% business.
In winter I estimate a certain amount of electricity goes to keep the van from freezing up - that's 100% business.

When I first started I booked an appointment with the tax man and this is how they suggested I do it. They were offering online courses for those who want to do their own returns.

Aha , I didn’t know that. My last 2 accountants asked for my statement. Changed to a new one this year and although he didn’t ask for it , I thought I had to!
Thanks , I will tell him I’m just giving him a figure from now on

The more complicated they make things the less likelyhood of your trying to do it on your own and they retain your business.

+1 for quickbooks. Great programme when synced to your bank account and save loads of time. Only a few quid a month too.

You don’t need to give your accountant any bank statements with customers details on , just give him the figures  that’s all he needs

For a standard self employed one man band outfit like myself I don’t think an Accountant is essential.

Doing your own accounts and self assessment with a program like Quickbooks and some knowledge of what expenses can be claimed back is all that’s needed.

Obviously different for the LTD companies, VAT registered and multi van setups where a decent accountant / good advice can pay for itself a few times over.

Only when he needs to submit vat or complie profits for corp tax etc or controlling any book keeping Quick books has everything built in for your accountant to log in with.
Funds are transferred from a holding account into the main account in a bulk so all he'll see if he wants too is my own details or a bulk payout from sumup gocardless etc.
