How do those with more than one or two vans manage the fuel. I had just been getting staff to get fuel out of cash then collecting receipts, but even with three vans mistakes happen. Lost receipts basically. Does anyone use Fuel Cards? Can you recommend one?

I calculate my staff fuel usage then I issue each one of them with a company credit card limited to the amount of fuel they use. If they lose a receipt it doesn’t matter we have a record, it saves petty cash being carried and they can fuel anywhere within reason and no restrictions. By the time you have finished messing around with fuel cards the potential saving is not worth the extra accountancy they take in my opinion unless you have a big fleet of vehicles.

Yes I can.
I got a fuel card from AllStar as the receipts you get fade and become useless.
Also when i get my extra van and staff member in 2019 (fingers crossed) i will be able to let him have the fuel card without having to mess about with cash and bits of paper as you get a fuel statement at the end of the week and it comes out by direct debit weekly.
You also have something called servicepoint. Its a portal you can use to book your van for mot and servicing all through your all star account.

it used to be. nightmare as people kept letting the vans get to empty the day before so no body had a decent amount of cash to fill up the next day
all runs smoothly now

Thank you. I've emailed Fuelgenie because they have the three garages that we invariably use. Sainsburys x 2 and Tesco.

Fuel card suppliers are bandits (feul genie aside). They'll lure you in with 5p below pump prices but slowly creep your prices up. Fuel genie just gives you pump prices.
My advice; get at least 2. Once they notice you've stopped using their card, they'll drop the price. You'll get an email informing you next week's prices every Friday, pick the cheapest. Also, when you sign up specify that you won't pay an annual charge and you want the cards issued free of charge, they'll agree but make sure you get it in writing.
Run properly you'll save around 2-3ppl.

If you save 2p a litre the savings in my opinion are negligible especially if you have to go to a certain fuel station. Surely a Credit Card with cashback or a loyalty scheme is better value?

For me the main reason for getting a fuel card was the ability to keep fuel records exactly as HMRC want it. Thats it. Not interested really in weather i save any money per litre of fuel. It simply means i can download my fuel statement as a pdf and save that for my fuel receipts, no need to hold onto those silly thermal printed receipts that end up unreadble in 3 months. Company credit cards are also great, but dont have the milage tracking that fuel cards have, and if HMRC want to interrogate your company credit card use they will fight tooth and nail to make the investigation pay off and are bound to find an inconsistency somewhere. With a fuel card you can only use it for the van registration that is on the card, and you can only get fuel so its more secure.
If you are looking to save 5p a litre, buying a fuel card isnt the reason for this. Go and do your shopping at Tescos and get a fuel coupon instead, which by the way you will find if HMRC was to investigate you in your fuel use, they could do you for using a promotion not for business use..

My saving is somewhere in the region of £500+ p/a off a £30k fuel bill. Not amazing but if you get a system put in place it's not like it's any hassle. My fuel bill is only going up but so too is the saving. If I could save £500+ on any other bill I wouldn't even think about it.
Most fuel cards are accepted in multiple stations although that's not really an issue for me because fuel stations are few and far between round here. UKfuels and Keyfuels are nationwide and accepted in most supermarkets. Both cards are sold by multiple companies.
There are other benefits offered with some of the cards, MPG analysing and vehicle tracking devices for example.
To make credit cards work I'd need 9 or 10 of them, technically, they'd need to be in different names that would need to be replaced on changeover of staff. There is also a (minor) trust issue there.

Same as above - the saving is a bonus it’s all about tracking and not losing payments for fuel

When you put it like that I understand now that some people especially those with the amount of Vans you have would find fuel cards a benefit. I tried one quite a few years ago and found it a pain in the ar$e. But there again we do a lot of stuff outside the local area and abroad. I can see though now how it benefits those that are working in a tight radius.

Just been approved for AllStar one cards! Was getting anyoing giving the lads cash every week for fuel so we asked them to use their own debit cards (they agreed) and I transfer the money straight back to their account when they text me a photo of the receipt. That started well but now they are refusing to use their cards so left with litre choice.

I only started using a fuel card because without it it becomes a pain taking multiple vans to the filling station. Either that or you've gotta give employees cash or some other means of payment. with a fuel card you just give one to each employee & get your bill delivered at the end of month along with the breakdown of which reg, time etc.

They probably refused as you pay them so little that there was never any spare cash in their accounts , the poor little blighters ;D ;D ;D ;D
