I'm not being funny, but you really need to sort out the spelling and grammar, otherwise the idea is good.

Hi Marie
I do not personally do mail shots and or try via email. Most companies will receive hundreds of these each year. I prefer ‘cold calling’, finding out the name of the person responsible (Facilities/ Building Manager), then I would forward them a welcome letter addressed to them and include a company brochure. I never worry if I do not get any immediate response, as my aim is to get on their tender list. I have netted work from letters and brochures that where sent out two years prior to my invitation to quote.
However saying that, try using the below request below.
Many Thanks
Andrew
Dear Sir/ Madam;
I would like to take this opportunity to introduce our company "A KIS CLEANING COMPANY".
Our new company is starting in (?) of this year and we will be able to offer tailored commercial cleaning to each of our clients. Although you may have contract cleaners at present, we would kindly request to be placed on your tender list for future opportunities.
Please feel free to contact our company at anytime, where we would be more than happy to arrange a site visit and compile your own tailored cleaning schedule and quotation free of charge.
Thank you for your time and we will look forward to future correspondence from you.
Yours truly,
Your name
Job Title
Company Name

The only question I have about your e-mail or letter is, Why would you tell them that you have not started the company yet and plan to start on a certian date. It implies that you have no experience in providing the service and if this is true then why would they even entertain a quotation from your company.
Personally I would Phone and get the name of the facilities manager or operations manager or whoever deals with the Cleaning contract.
Try to speak to them and find out who they use as a cleaning contractor and if they would be interested in another company quoting for the business when the contract is being renewed.
Ask them what they like about their existing contractor and if there is anything they would like to change about them. This gives you ammunition on what to focus on about your company that they would like to have.
Send them a personalised letter outlining your company and services.
Call them a couple of weeks before the contract is being renewed and arrange a site visit quotation etc.
Regards
John

hi ,another Dubliner 8) I can see where you are coming from but i dont see where it says i have no experience, the way i see it is if the company wants to know more, i will send a cover letter with all my experance, i have worked with two well known cleaning firms plus two local and at the mo i am a deptuy cleaning manager in a large store for the past three years, I have enough stuff to start me off in med size factory or offices, dont want to advertise till christmas is over, get more togeather, i thought if i send vibes out let them know i am around i may, fingers crossed get one which i could do with, to help with costs. The e-mails i have sent so far have the people in charges name on .I got these from everyone i have told and asked them where they worked, even places i have cleaned for with the other two main contractors ,so i know how they work.I will take your advice on board about, what they would like to change about them. plus i was thinking of sending letters.many thanks for your opinion and advice most welcome, regards blacksheep

Hi Blacksheep,
I just think that your letter implies that you have no experience, I would try to not give them the opportunity to think that at all.
If you were the contracts manager of a company ask another company that has not even started trading yet to quote you.
Its not about being nice to new companies starting its just business, I would want an experienced company (which you are, from your employment).
It just sounds as if you are saying "im thinking of starting a cleaning company so please ask me to quote you when I you have a minute" Instead of "we are an experienced cleaning company and wish to provide you with professional services at a competitive price.
Sorry to be so inquisitive but what will be different after christmas compared to today that will make your chances of getting work any better? Just Wondering?
Regards
John

hi blacksheep.
i have to agree with pristine cleaning i dont see the point in informing them your company is not yet fully functional this cannot do you any favours, if your not ready to take on any work yet and this is the reason you are stating that mayby you should delay your e mail for a while or just send it out and see what response you get if you get one or two enquires you could just try and stall for now telling them your really busy which in itself would imply you offer a good service as people who dont are not usually busy. on the other hand you may be bombarded with calls and may consider starting sooner, you dont know till you try.
good luck

hi ya red ,i have started sending e-mails out they keep getting returned mail box full, on the off chance i get 1 or 2 i would take them on and give my notice in straight away. i will have to do the work which is no prob but i was affraid of getting lots of calls and couldnt cover all contracts because of no staff, which i cant take on till i get paid from my first contract & i may not even get paid after 30 day invoice, not straight away. i have equipement and chemicals to start my first job, i am going to start wrighting letters, i could put an advert in the local paper but you dont get a response till the forth ad , i know because i have tried it way back and some business have told me the same which is a waste of money i dont have at the mo, really only not going for it to keep the peace till before xmas ,it may be a bit selfesh to start before this if things dont go well

Hi Blacksheep,
My only advice to you when you start this venture is Make a Plan, Plan the number of e-mails you are going to send, plan the number of companys you want to contact, Plan the exact date you wish to start the company, Set yourself a goal of whatever date in January that you are going to go for this and work towards it. As the saying goes Fail to Plan, Plan to Fail.
You have the cleaning experience, you know what chemicals and equipment is needed to get a great job done, once you start seriously planning this company things will start to happen and I have no doubt that you will get the work. One thing you will need is the support of your family, do whatever you need to do to get your hubby on your side and supporting you, its not going to be easy at the start so you will need his support and encourragement and you will always find words of encouragement on this forum.
MAKE A PLAN, WRITE IT DOWN, SET YOURSELF GOALS.
Good Luck,
John

hi there,
I agree with John, you need to make sure that you focus on the objectives that you set yourself.
you need to send out the message that you are a professional organisation and that you can carry out the service that you offer.
the secrets to sales are THE ANSWER IS YES, now WHATS THE QUESTION.
never turn work down, try to build a relationship with another cleaning company if need be sub work out, you make money for not doing the work.
the secret is about working smart,
whilst email represents a low cost marketing solution, there is nothing better than hard copy marketing. and there is nothing better still than physical cold calling.
if you walk the streets and the industrial estates, you will only go into the buildings that meet your profile of prospective client, ie the size of the building.
its only an opinion , but may offer you some direction.
regards
martin
